Job description

The Intake Officer - SEWB provides high-quality, secretarial, and administrative support to ensure effective and efficient delivery of SEWB services within clinics and to the community.

Established in 1991, Danila Dilba Health Service (DDHS) is an Aboriginal community-controlled organisation committed to providing culturally appropriate, comprehensive primary health care services and community development within the Biluru (Aboriginal) community of the Yilli Rreung (Greater Darwin) Region in the Northern Territory.

We work to address the social determinants of health including the broader issues that affect our people’s health, through evidence-based research and public advocacy. We also work to empower individuals, families, and communities to optimise their health.

WHAT WILL YOU FOCUS ON?

The Intake Officer - SEWB provides high-quality, secretarial, and administrative support to ensure effective and efficient delivery of SEWB services within clinics and to the community. A key component of this role is to maintain internal and external stakeholder communication and manage the client data record system for intake to ensure effective processes for client care pathways within SEWB and DDHS services.

RESPONSIBILITIES

SEWB Administration Support

  • First point of contact from internal/external stakeholders regarding waitlists and referrals.
  • Maintain and manage SEWB referral emails.
  • Maintain and manage the intake of referrals, ensuring administrative checks such as health checks, GP (general practitioners) management plans, and other SEWB requirements of entry into the program are met before collating referrals for intake meetings.
  • Organise and coordinate intake meetings, e.g., minutes, documenting, and reporting, managing the registers and action lists to track and report the activity.
  • Contribute to and follow policies and procedures relevant to Communicare.
  • Monitor waitlists and outstanding referrals and report anomalies.
  • Secretariat support for SEWB managers assisting with, but not limited to, work instructions and purchase orders.
  • Support group activities and events as required i.e. purchase orders, set up and help facilitation of the group activity.
  • Other Administration duties as directed.

  • Contribute to developing and implementing strategies to meeting goals set towards providing high quality, comprehensive administrative support.

  • Effectively communicate with a multidisciplinary team, including clients and external service providers, to ensure external stakeholder services to clients.
  • Maintain a positive work environment along with harmonious and cooperative relationships with fellow employees, management, and clients.
  • Be responsible for maintaining your own professional work ethic and participate in staff meetings.

Safe Practice and Environment

  • Conduct all activities in a manner consistent with national health accreditation standards, DDHS Occupational (Work) Health and Safety Policy and procedures.
  • Proactively address WH&S hazards, incidents, and injuries, adhere to cold chain management and infection control processes.

Quality

  • Identify and make recommendations on opportunities to improve processes, quality, and service delivery outcomes.
  • Participate in the development of quality procedures and contribute to internal and external program reviews as required.
  • Implement and follow the DDHS incident and complaint investigation policies.

Information Management

  • Ensure accurate documentation of information in a timely manner.

QUALIFICATIONS

Essential

  • Demonstrated two or more years of experience working in an administrative role requiring confidentiality, initiative, integrity, and sound judgment.
  • Experience in administrative procedures for managing documents and maintaining records.
  • Demonstrated ability to communicate effectively with varied internal and external stakeholders across various cultures and professional groups.
  • Highly developed interpersonal skills, including written and verbal communication skills, with an ability to handle sensitive matters and maintain confidentiality.
  • Ability to work independently with strong organisational skills and demonstrated ability to plan, manage and prioritise tasks to deliver outcomes within tight timelines.
  • Demonstrated high-level computer skills, including experience using Microsoft Word and Excel, as well as the ability to use clinical practice software.

Desirable

  • Qualification or working towards a qualification in Health Administration.
  • Demonstrated experience and competency in working with Communicare.
  • Experience in working in an Aboriginal Community Controlled Health Service or similar complex environment.

  • Current driver’s licence
  • Current CPR certificate or the preparedness to gain one within 6 months of commencement.

  • Contribute to the efficient and effective functioning of their team or work unit to meet the organisation’s objectives. This includes demonstrating appropriate and professional workplace behaviours in accordance with the Code of Conduct, assisting team members if required and undertaking other key responsibilities or activities as directed by one’s supervisors.
  • Read, understand, and comply with all DDHS policies and procedures.
  • Be aware of the requirements of the DDHS’s risk management framework; identifying, assessing, managing, and escalating risks; and exercising a duty of care.
  • Work at and travel between other DDHS locations may be required from time to time.
  • Complete all mandatory training as required by DDHS.
  • Demonstrate understanding of the principles of anti-discrimination, staff and trainee’s equity, work health and safety and other relevant legislation, and show the willingness and capacity to implement equal employment opportunity and work health and safety plans, policies, and programs.

Work Health & Safety

  • Ensure all activities comply with WHS legislation and DDHS policy & procedure.
  • Implement & monitor risk management activities including, but not limited to, workplace inspections, incident/hazard investigation and follow-up, and implementation of risk controls.
  • Analysis of WHS training requirements for staff including the provision of training and monitoring of training to ensure completion and currency.
