WHO ARE WE?

Established in 1991, Danila Dilba Health Service (DDHS) is an Aboriginal community-controlled organisation committed to providing culturally appropriate, comprehensive primary health care services and community development within the Biluru (Aboriginal) community of the Yilli Rreung (Greater Darwin) Region in the Northern Territory.

We work to address the social determinants of health including the broader issues that affect our people’s health, through evidence-based research and public advocacy. We also work to empower individuals, families, and communities to optimise their health.

WHAT WILL YOU FOCUS ON?

The Executive Assistant to the CEO provides high quality, confidential and timely executive support to the CEO and to the Board to achieve the strategic objectives of DDHS. 

RESPONSIBILITIES

  • Manage the CEO’s diary.
  • Organise the CEO’s travel itinerary and bookings.
  • Meeting management and support for the Executive Management Team, Clinical Governance Committee, Finance Risk and Audit Committee and DDHS Board, including AGM (in collaboration with the Company Secretary). 
  • In collaboration with the Company Secretary, maintain meeting minute register, actions register, and resolution register.
  • Maintain compliance and other registers for the CEO and the Board including annual checks and corporate registrations.
  • In collaboration with the Company Secretary, coordinate administration of Board Director nominations, engagement, induction, and training.
  • Prepare presentations, communications, reports, and project documentation as requested by the CEO.
  • Prepare and distribute an annual meeting schedule, in collaboration with the Company Secretary.

QUALIFICATIONS

Essential

  • Formal qualification in business/administration and/or a minimum 5 years’ experience in providing comprehensive executive support to high-level executives, including exceptional scheduling, calendar management and administration support.
  • Demonstrated experience in executive and board meeting support including efficient and effective preparation of meeting packs (agendas, board papers, taking minutes, recording actions).
  • Demonstrated ability to maintain a high level of confidentiality in handling sensitive information and a strong commitment to ethical conduct.
  • Excellent written and verbal communication skills, with the ability to interact professionally and effectively with internal and external stakeholders.
  • Highly organised, able to proactively identify challenges, solve problems independently, and make sound decisions in a fast-paced executive environment.
  • Advanced computer literacy skills with advanced Microsoft Office Suite, particularly MS Word, Excel, and PowerPoint.

Desirable

  • Proficiency in creating and implementing systematic processes.
  • Experience in using board software packages such as Diligent or similar.

BENEFITS AND ENTITLEMENTS
  • 6 weeks annual leave.
  • 5 days paid leave during end-of-year shut down (additional to annual leave).
  • Salary packaging up to $15,990 per annum.
