Established in 1991, Danila Dilba Health Service (DDHS) is an Aboriginal community-controlled organisation committed to providing culturally appropriate, comprehensive primary health care services and community development within the Biluru (Aboriginal) community of the Yilli Rreung (Greater Darwin) Region in the Northern Territory.

WHAT WILL YOU FOCUS ON?

The Administration Officer – Chronic Disease Services provides administrative and operational support to the Senior Manager – Chronic Disease Services (SM-CDS) and other program team managers across chronic disease services area.  This role assists to ensure effective delivery of chronic disease programs and integration of services across DDHS. 

RESPONSIBILITIES

Provide High level administrative support to SM CDS and Chronic Disease Services Team

  • Provide secretariat support for key organisational meetings and regular team/area meetings:
  • Arrange meetings, assist with the development of agendas, and take minutes of the meetings.
  • Develop and maintain registers and action lists to track and report the activity of the meetings.
  • Follow-up with relevant leads to ensure reports and documents are submitted.

Provide operational support to support effective running of Chronic Disease Services

  • Coordinate relevant specialist clinics that visit DDHS.
  • Maintain regular contact with specialists and referring clinics in relation to future appointments, clinic dates and ensure stream allocation
  • Provide receptionist functions in support of DDHS Chronic Disease clinics in person and over the phone.
  • Monitor stationery/stock and order as per established procedures.
  • Assist with coordination of chronic disease client transportation when required.
  • Review and action relevant client recall and reminders as delegated.
  • Support client referrals process within Chronic disease services.

Undertake administration duties for the patient information and recall management system (Communicare)

  • Assist with management of Communicare system including oversight of appointment streams relevant to chronic disease services ensuring streams are created and maintained to reflect staff rosters.
  • Assist with training of administrative staff.
  • Contribute to and follow policies and procedures relevant to Communicare use. 

Support the management of the Release of Information (ROI) process

  • Work collaboratively with the Administration Officers – Clinical Excellence, HPPI and Clinical Services to support their oversight of the ROI process and management of requests.
  • Contribute to and follow ROI policy and procedures.
  • Be responsible for managing ROI requests in line with ROI policy and procedures.
  • Support other HPPI Administration Officers with complex ROI’s when required.
  • Support continuous improvement of process, procedure, and standardisation of ROI process within external legal requirements.

QUALIFICATIONS

Essential

  • Reliable and punctual with a high level of self-motivation.
  • Demonstrated knowledge and experience working in office administration and/or medical reception.
  • Demonstrated awareness of and sensitivity to Aboriginal culture and history and knowledge of issues impacting on Aboriginal and Torres Strait Islander peoples.
  • Well-developed interpersonal skills including written and verbal communication skills with an ability to handle sensitive matters and maintain confidentiality.
  • Ability to work independently, and as a member of a team, with strong organisational skills and demonstrated ability to plan, manage and prioritise tasks.
  • Demonstrated competency in the operation of Microsoft Office and similar software programs.

Desirable

  • Qualification or working towards qualification in Health Administration or other relevant qualification.
  • Demonstrated experience and competency in working with Communicare.  
  • Experience in working in an Aboriginal Community controlled Health Service or similar complex and high-risk clinical environment.
