Established in 1991, Danila Dilba Health Services (DDHS) is a not-for-profit, Aboriginal community-controlled organisation that is committed to providing culturally appropriate, comprehensive primary health care services and community development within the Biluru (Aboriginal) community of the Yilli Rreung (Greater Darwin) region in the Northern Territory.

We are focused on acute care, immunisation, chronic disease management, women’s health, men’s health, child and maternal health and sexual health.

We also provide a range of community programs in areas including health promotion, mental health, social and emotional wellbeing, and alcohol, tobacco, and other drugs.

ABOUT THE ROLE

The Administration Officer – Health Promotion & Program Integration provides administrative and operational support to the Executive Manager - Health Promotion & Program Integration and other program team managers across Health Promotion, Chronic Disease and Aged Care. The role ensures effective delivery of programs and integrated services across DDHS by providing high level administration support and assistance within scope for events/group sessions.

WHAT YOU WILL DO

PRIMARY RESPONSIBILITIES

  • Provide high level administrative support to EM-HPPI and Senior Managers of HPPI as required.
  • Assist in development, drafting and review of policies and procedures relevant to HPPI
  • Responsible for maintaining and managing whole of service emails relevant to HPPI and
  • ensuring all emails are actioned in a timely manner.
  • Develop and maintain external stakeholder communications to ensure effective processes for client care and service integration projects.
  • Support and coach other HPPI administration officers and act as backup when required.
  • Provide secretariat support for key organisational meetings and regular team/area meetings.
  • Coordinate meetings within clinical services
  • Arrange meetings, assist with the development of agendas and take minutes of the meetings.

SELECTION CRITERIA

Essential

  • Demonstrated experience in working effectively in an administrative role requiring confidentiality, initiative, integrity, and sound judgement.
  • High level of administrative and organisational skills including the ability to managing conflicting
  • and changing priorities.
  • Experience in administrative document and records management and multi-calendar
  • management.
  • Experience and desire to improve workflows and process.
  • The ability to communicate effectively with people and stakeholders across a range of cultures
  • and professions.
  • Highly developed interpersonal skills including written and verbal communication skills with an
  • ability to handle sensitive matters and maintain confidentiality.
  • Demonstrated high level computer skills, including experience using the Microsoft Suite of
  • programs, as well as the ability to use clinical practice software.

Desirable

  • Qualification or working towards qualification in Health Administration or other relevant qualification.
  • Demonstrated experience and competency in working with Communicare.
  • Experience in working in an Aboriginal Community Controlled Health Service or similar complex environment such as service industry or public administration.
